How to use Events to manage registrations to attend Mass - Kyrios ChMS

Kyrios has a new functionality, which helps to better manage people who want to participate in Mass.

This functionality is particularly useful in small Churches, with a reduced capacity, allowing for effective management of available space.

How does it work?

We did our best to simplify the entire process and can summarize the flow in 5 steps:

1 – Parish publishes masses

Firstly, it is necessary to publish the Mass Agenda, to do this you must access Kyrios and access the website – events (https://portalng.kyrioscloud.com/events). 

Then you must click and fill in the details of a mass:

In this example, we fill in the following information for next Sunday's Mass:

After filling in the data, click .

The event is now public and should appear on the Parish website (if available) and on the Kyrios App.

2 – Parishioners register

With the public event, parishioners now have access to the Mass schedule and can now register directly on the APP:

3 – Parish validates registrations

After the end of the registration date, the Parish must validate those registered.

Therefore, you must open the mass event in question by accessing the website – events (https://portalng.kyrioscloud.com/events) and editing the respective event.

Then you must open the registrations tab, if there are registrations they will appear here:

We need to confirm who can be present, as capacity is limited to 20 people and we may have more registrations than existing capacity.

We can check the confirmed box. When you do this, the No. of confirmed field will be updated, this helps us understand when we have reached the maximum, as you can see in the image:

You can consult the registration history of each Parishioner, so that you can better manage participation over time, in order to give everyone a turn:

Registration does not require the existence of an individual form, you can fill in the data in the fields directly, but if there is one you can select the individual form so that the records can be related.

4 – Parishioners receive an email with confirmation

When all registrations are closed and confirmed, Parish users can click on the button Notify registrations, so that an automatic email is sent to all subscribers, where those confirmed will receive an email with this format:

The QR code is used to validate registration upon entry to the mass/event.

Registrations that cannot be confirmed due to lack of capacity will receive an email with the following content:

5 – Only those who have registered attend mass, avoiding confusion

In this way, only confirmed people should attend Mass, so that social distancing criteria are met, avoiding confusion at the entrance to take place.

If you wish, you can also control attendance and in this case, this information will also appear in the history, to help you understand if there are confirmations that end up not showing up, taking away their place from others.
